This notice is provided in terms of the Protection of Personal Information Act 4 of 2013 (“POPIA”) and sets out how Kalahari Holdings Group, as the “Responsible Party,” collects and processes your personal information, and explains your rights as a “data subject.”

4. Purpose, Source and Voluntariness of Collection
- Purpose: We collect personal information to respond to enquiries, provide quotations, and manage travel, accommodation, car rental, shuttle and conferencing bookings.
- Source: Information is collected directly from you via our website enquiry form, telephone, email, or in person.
- Voluntary or mandatory: Providing your information is voluntary; however, without certain information (e.g. contact details) we may be unable to respond to your enquiry or process a booking.
- Consequences: If you choose not to provide requested information, we may not be able to provide the requested service.
- Recipients: Your information may be shared with travel suppliers, accreditation bodies, and service providers as described in our Privacy Policy.
5. Lawful Processing Conditions
In line with the eight conditions for lawful processing under POPIA, we commit to:

- Processing limitation — processing information lawfully, minimally, and with your awareness or consent.
- Purpose specification — collecting information for specific, defined purposes.
- Further processing limitation — not using your information for unrelated purposes without your consent.
- Information quality — keeping information accurate and up to date.
- Openness — being transparent about our processing practices.
- Security safeguards — protecting information against loss, damage, or unauthorised access.
- Data subject participation — allowing you to access, correct or delete your information.
6. Your Rights as a Data Subject
- Be notified that your information is being collected.
- Access your personal information held by us.
- Request correction, deletion, or destruction of your information.
- Object to processing of your information on reasonable grounds.
- Not be subject to a decision based solely on automated processing.
- Lodge a complaint with the Information Regulator.
7. Cross-Border Transfers
Where information is processed by international travel suppliers, airlines, or systems such as the Amadeus Reservation and Ticketing System, information may be transferred outside South Africa. We take reasonable steps to ensure such transfers are subject to appropriate safeguards, as required by POPIA.

If you believe your personal information has been processed unlawfully, you have the right to lodge a complaint with the Information Regulator of South Africa:
